Privacy Policy

This Privacy Policy explains how Duffco Ventures LLC, doing business as Track CLE (“Track CLE,” “we,” “us”), collects, uses, and shares information when you use trackcle.com and the Track CLE application (the “Service”). Track CLE is currently offered as a free, card-free public beta unless we separately agree otherwise with you.
1. Information we collect
- Account and workspace information — name, email address, firm name, role, and settings you provide.
- CLE records and forwarded email — when you or your firm forward a certificate email or upload a document, we receive and store the email (sender, subject, body) and its attachments, which typically contain attorney names, bar numbers, course titles, providers, dates, and credit amounts.
- Billing information — the public beta does not require a payment card. If you later choose a paid plan, subscriptions are processed by Stripe. We store your plan, subscription status, and Stripe identifiers; we never see or store your full card number.
- Usage information— product analytics (pages viewed, features used), device and log data, collected via PostHog and our hosting provider’s logs.
2. How we use information
- To operate the Service: store certificates, extract credit data, compute compliance estimates, and send deadline reminders and account emails.
- To process forwarded certificates and imported records with automated document extraction (see Section 3).
- To provide support, secure the Service, and prevent abuse.
- To improve the product using aggregate usage analytics.
- We do not sell personal information, and we do not use Customer Content for advertising.
3. Automated document processing
Forwarded certificates and uploaded documents are processed by a secure document-extraction provider to suggest structured credit data for human review. Under the provider’s API terms, this content is not used to train its models. Extraction output is stored with your workspace’s records and is always reviewable and correctable in the application.
4. Service providers (subprocessors)
We share information with service providers only as needed to run the Service:
- Vercel — application hosting
- Supabase — database, authentication, and file storage
- Stripe — payments and billing for future or paid plans
- Resend — inbound certificate email and outbound notification email
- Document extraction provider — certificate and document processing
- PostHog — product analytics
We may also disclose information if required by law, to protect rights and safety, or in connection with a merger, acquisition, or sale of assets (with notice to you).
5. Sharing within your workspace
The Service is built for firms: workspace owners, administrators, and staff can see CLE records for tracked attorneys in their workspace according to their roles. Attorneys with attorney-only roles see their own records. Your workspace administrator controls membership.
6. Retention
We retain workspace data for as long as the workspace is active. After account termination, we delete or de-identify workspace data within a reasonable period (generally 90 days), except records we must keep for legal, billing, or security purposes. You may request earlier deletion (Section 8).
7. Security
Data is encrypted in transit; database and file storage are hosted with providers that encrypt data at rest; access within the application is controlled by role-based permissions and row-level security. No method of transmission or storage is 100% secure, but we work to protect your information and will notify affected users of a breach as required by law.
8. Your rights and choices
- You can access and correct most account and CLE data directly in the application.
- You can request a copy or deletion of your personal information by emailing hello@trackcle.com. We honor applicable state privacy-law rights (including access, correction, and deletion) and will not discriminate against you for exercising them.
- Transactional emails (reminders, billing) can be tuned in notification settings; account-critical messages may still be sent.
9. Children
The Service is for legal professionals and is not directed to children under 16. We do not knowingly collect information from children.
10. Changes
We may update this Policy. For material changes we will give notice by email or in-app before the changes take effect. The effective date above reflects the latest revision.
